A Canton Fair sourcing trip is two projects on one airline ticket: the buying week in Guangzhou, and the shipping decision that turns a booth conversation into stock in your warehouse. Most guides cover the first half and stop at the airport. What decides your landed cost — what you can fly home, how a dozen booths become one container, which paperwork must exist before the vessel sails — is the half that gets skipped.

The autumn 2026 session, the 140th, runs 15 October to 4 November in three phases with two closed intervals: the phase you book decides which factories you meet, the intervals decide whether you can visit them, and the close of the fair starts a countdown to Chinese New Year.

Canton Fair 2026: Dates, Phases and Which One to Book

The fair is three five-day blocks, each with different industries, at the China Import and Export Fair Complex in Pazhou, Haizhu District, Guangzhou. Attending the wrong phase is the classic first-timer mistake: same venue, different suppliers.

Two details change the week. The intervals are closed to buyers: arrive on 21 October expecting to walk a hall and you will spend the day looking at forklifts. Before You Fly: Buyer Badge, Visa and the Invitation Letter

Two things have to be solved: the Overseas Buyer Badge for the venue, and permission to enter China. The badge is the trade-visitor credential, not a ticket and not a visa: register in the organiser’s Buyer Service System with your name as printed in the passport, then collect it at the complex. One badge covers all three phases.

The invitation letter is the most misunderstood item here. It supports a visa application; it is not a ticket, and not a guarantee of entry — decisions belong to the Chinese authorities and depend on nationality and circumstances. Check the National Immigration Administration guidance on visa-free transit and your nearest Chinese embassy before booking flights. Two phases without visa-free entry means planning the M visa rather than stretching a transit exemption.

Two Weeks Out: Shortlist, Meetings and Guangzhou Logistics

The fair rewards preparation: the volume is high enough that an unprepared visitor collects brochures. One orientation day, then depth — booked meetings first, mornings over afternoons.

Metro Line 8 serves the complex directly — Xingangdong for Area A, Pazhou for Areas B and C — and it is the predictable option: roads around Pazhou congest at opening and close, and ride-hailing surge pricing peaks when you want to leave. The line is packed between roughly 08:30 and 10:00 and again from 17:00 to 18:30. On hotels, the split is on-island Pazhou at a premium, Zhujiang New Town across the river for restaurants with a short metro hop, and cheaper options further out that cost you an hour a day.

At the Booth: The Data Your Forwarder and Customs Need

What you note in twenty minutes decides whether a quote can be issued the week you get home or after three rounds of email chasing carton dimensions. Treat a booth as a source of a record, not a price:

The habit that saves the most money is unglamorous: photograph every business card next to the product it belongs to, because by day three twelve cards from twelve ceramics booths look identical. Getting Samples Home: Express, Air and What Cannot Fly

Samples are the first shipping decision you make, usually on the last day of your phase.

What cannot fly home

Phase 1 is where this bites, because electronics are what buyers most want to take home quickly:

  • Lithium batteries and battery-containing products — power banks, e-scooters, speakers, cordless tools. Air carriage requires UN38.3 test summaries, often MSDS documentation and Class 9 hazard labelling, and many carriers restrict standalone lithium cells outright. “No problem” from a booth salesperson is not a carriage decision.
  • Liquids, aerosols, chemicals and cosmetics — classification follows the formulation and safety data sheet, not the product name. General cargo can be dangerous goods once the MSDS is read.
  • Food contact, medical and personal care items — usually shippable, but registration and labelling often have to be in place before sale.

Our working rule: if a sample contains a battery, assume a documentation delay on the air route and ask whether it can travel as consolidated LCL alongside the production order. When speed matters, an all-in DDP air shipment including clearance and delivery beats a per-kg rate with destination charges added later. Consolidating Orders from Guangdong: LCL, FCL and the Rates

The fair is in Guangzhou, but the factories behind it are spread across the Pearl River Delta — Guangzhou and Foshan to the west, Dongguan and Shenzhen to the east — with the Nansha, Yantian and Shekou terminals serving the cluster.

Nominate one consolidation warehouse, tell every supplier to deliver against a booking reference, and let it receive, check, repack and book the load. Ten pallets from four factories become one LCL consignment or one FCL container, one export declaration, one bill of lading.

LCL versus FCL is a volume question. On most lanes the crossover sits around 13–15 CBM: below it LCL usually wins on total cost, above it a 20ft container does because you stop paying per CBM. Density matters as much as volume — ceramics or hardware can hit a weight threshold before filling the box.

Bands move with season, equipment and fuel; ask for current levels before fixing a price. Wooden packaging needs ISPM 15 treatment — untreated display framing surfaces as a problem at the destination, not the loading dock. Stacking discipline matters because a pallet-height mismatch costs labour at the warehouse or a claim at destination.

From Booth to Vessel: Lead Times, Cut-offs and Chinese New Year

Production starts when the deposit clears and the specification is frozen.

If you want stock before spring, work from the November batch rather than waiting until the fair closes. Our Industry Insight: The most useful sentence a buyer can send a supplier in December is a vessel cut-off date, not a reminder to hurry. Production schedules respond to a fixed date with money attached. Suppliers who work back from the cut-off and book space when the deposit clears ship before the holiday.

Duty, VAT and Compliance You Cannot Fix After the Fair

Everything here is decided before the goods leave China, and almost none of it can be repaired afterwards. Rates vary by product and market: treat the table as a map of what must be arranged, and confirm the numbers for your own HS code.

Two habits separate a smooth import from an expensive one. Decide at the booth which market the goods are going to: a product fine in one market can need different certification and labelling in another, and those are factory-stage decisions. Then refuse the low-value invoice — declaring below transaction value produces an inconsistent file and removes the customs value any claim depends on.
